Users and Enrollment File Field Definitions

Setting up users in Outcomes Assessment Projects requires filling out the Users file, attached at the bottom of this article.

The additional (and optional) Enrollment spreadsheet is required only if:

  • It is desired that the faculty member of record assesses ONLY their own students’ work
  • It is desired that the faculty member of record does NOT assess their own students’ work
Category Field Definition Acceptable Values
User and Enrollment Person ID This is an identifier for an Assessment Coordinator, Faculty, or Evaluator A set of alpha-numeric characters or numbers of any length
User Status This is the user’s subscription status Active

User and Enrollment Node ID This is the area in the organization to which the user belongs A Node ID entered in the Organization Node spreadsheet
User and Enrollment Role

This is the individual’s permission-level in the organization (a user can have more than one role). There are three types of roles:

Assessment Coordinator - The assessment coordinator’s permissions include defining the rubrics and learning outcomes to be measured, creating assignments, managing evidence, and running reports. Typically there is only 1 coordinator.

Faculty - The faculty permissions include creating assignments, managing evidence, and running reports. This role is typically used when faculty will be assisting the Assessment Coordinator with creating assignments or populating student work in the system.

Evaluator - The Evaluator permission is assigned to an individual who will only be scoring in the system.

User and Enrollment First Name This is the individual’s first name A set of alpha-numeric characters or numbers of any length
User and Enrollment Last Name This is the individual’s last name A set of alpha-numeric characters or numbers of any length
User and Enrollment Email This is the individual’s email address Must be formatted as a valid email address.
User Phone (Optional) This is the individual’s phone number A set of alpha-numeric characters or numbers of any length
Enrollment Section ID This is the course section with which the individual is associated A Section ID entered in the Academic Sessions spreadsheet
Enrollment Term ID This is the term(s) with which the course section(s) you entered is associated A Section ID entered in the Academic Sessions spreadsheet
Enrollment Enrollment Status Please set this to Active Active
