Planning & Self-Study Release Notes for March 14, 2023

Increased Number of Leads Per Organization

Administrators and Assessment Leaders will now be able to assign up to 20 leads per organization.

Allow Users to Version Measure Details by Reporting Year

We have introduced a measure revision feature that allows the plan administrator/contributor to revise their plan measures. Users will have the ability to revise a measure within an assessment plan.

Currently, if the plan administrator/contributor has to make changes to a measure then they edit that particular measure resulting in updating the measure definition in all the assessment plans regardless of the reporting period and plan status. Hence, the assessment reports pull incorrect data for the measures.

In order to resolve this, we have introduced a measure revision feature that allows the plan administrator/contributor to revise their plan measures. Users will have the ability to revise a measure within an assessment plan.

Plan administrators/contributors will be able to view the previously added measure definition while revising it. They can update the measure definition and create a new revision.

This new revision will get associated with the assessment plans reporting period. Additionally, it will become the current measure version in this assessment plan and all the plans for this reporting period. The new revision will not become the current version in any completed/reopened assessment plan for this particular reporting period.

Revision History

When revising a measure, the plan administrators/contributors will have the ability to view a measure’s revision history. All the versions would be listed in the history except the future measure revisions. Future versions are the ones that are created in future reporting year assessment plans.

A current reporting year i.e 2023-2024 academic year will have all the measure revisions which are created in the current and past reporting year plans.

View changes in a version

Plan administrators/contributors will have the ability to view the changes that were made when creating a new revision. This does not include the changes that were made when editing a measure revision.

View version details

Plan administrators/contributors will have the ability to view a past measure revision’s details. They will be able to view Title, Method, Target, Description, and attachments of that particular version.

Restore a version

Plan administrators/contributors should be able to restore a past version from the outcome history. Upon restoring a past version, that version would become a current version in the assessment plan. This restored revision will get associated with the assessment plans reporting period. This restored revision now will become the current revision in all the assessment plans for this reporting period.

Comprehensive CSV Export of Assessment Plans

We have added a comprehensive CSV Export of Assessment Plans. This export will include the Findings Summary and Analysis Summary, Action Items, and Action Status all in one report.

Currently, there is not capability in the system where the plan administrator/contributor can export all the plan measure details. We do have various CSV exports through which plan administrators/contributors can export plan measures, measure actions, and results. However, the clients have to merge the data from various reports into a single report so that it could be shared with other key stakeholders.

Additionally, none of the existing reports were extracting the measure analysis, and measure action's updates data.

The Comprehensive Plan Export report will export the data for all the input fields results and findings along with the measure actions and their respective updates for an organization.

This report can be located in the Export panel within an assessment plan. The plan administrators/contributors will have the ability to export this report for both program and course assessment plans.

Plan administrators/contributors will have the ability to select a particular organization from the hierarchy and generate the report for the same.

The only difference between the report generated for program and course type plans is that the course plan export will not have measure action updates data. Since, we do not capture the action updates in a course plan, the columns for the same will not appear in the export.
