Pipelines Quick Start Guide

Overview

The purpose of this article is to help users create a new Pipeline.

How to get started with Pipelines 

1) Define which roles can edit and create pipelines in Role Administration.

2) Define the Pipeline.
The following items are required in every pipeline:

  • The Departmental App defines the specific app where the pipeline is used/can be viewed.
  • The Entry Person Type defines the opportunities that can be added into the pipeline.
  • Which roles can view the pipeline.
  • Which roles can manage opportunities within the pipeline.
  • The departmental app and entry person type cannot be changed after the pipeline is active.

3) Enable the Pipelines tab in Departmental App Administration for the app defined in step 2.

4) Verify Person Type settings and configure the Pipeline items in Person Type Administration for the entry person type defined in step 2. 

  • Person Type Administration includes four pipeline settings and also determines which tabs/actions display for opportunities within the pipeline.

5) Create the pipeline in Pipelines Administration.

  • Enter the pipeline name, departmental app, entry person type, roles that can view the pipeline, and roles that can manage opportunities within the pipeline (must be allowed to view the pipeline too).

6) Define the pipeline stages and add at least one pipeline stage.

  • The pipeline stage types are: End in failure, End in success, and None.
  • Each pipeline is required to include at least one pipeline stage and at least one stage that is associated with an "End in..." stage type.
  • Depending on the pipeline objective, in most cases each pipeline will include multiple stages that include one pipeline stage that ends in success and one pipeline stage that ends in failure.
  • In most cases, the first stage of a pipeline will be associated with stage type "None". Stage Type "None" represents a transitionary stage, and it most likely wouldn't make sense to start a pipeline with a stage that represents the end of the pipeline objective.
  • If needed, an "Archive" or "Hold" stage can be added to capture any opportunity that should not be part of the pipeline.
  • Pipeline stages canot be deleted after the pipeline is activated, however pipeline stages can be reclassified. moved, added, or edited at any time.

7) Optionally add a Manual/Automated Schedule Filter on the Opportunity Details tab in Pipelines Administration.

  • A manual schedule filter will load opportunities one time when the pipeline is activated.
  • An automated schedule filter will load opportunities periodically based on the specified schedule.
  • A manual/automated pipeline filter is not required and can be added at any time. 

8) Activate the pipeline.

9) Optionally add opportunties to the pipeline from a Person Type filter bulk action menu. Opportunities can also be loaded from a Person record or by copying opportunities between different pipelines that are in the same department app and share the same entry person type.

  • When adding a manual schedule filter after the pipeline has been activated, use the Refresh button located on the Pipeline Details - Info Tab to load opportunities into the pipeline.

10) Manage opportunities within the pipeline.

  • Move opportunities through the pipeline.
  • Add/edit pipeline stages as needed.
  • View opportunity details.
  • Apply bulk actions to selected opportunities from the Pipeline Details List View.
  • Apply actions to individual pipeline opportunities from the opportunity detail record.
