Publication Import Tool

Faculty Success allows you to import publication citation information directly into the system through integrations with several scholarly repositories, as well as BibTeX files exported directly from additional reference sources.

This article is intended for faculty who want to bring publication records into Faculty Success without manual data entry. It covers:

  • An overview of each supported import source.
  • What to expect from each integration.
  • Important considerations to keep in mind before and after importing.

Important Considerations Before Importing

Keep the following in mind when using any of the import integrations:

  • Importing can automatically populate most fields in the Publications summary screen. However, some fields such as "Peer-reviewed status" or "AACSB Classification" require manual updates after the import is complete to ensure accurate reporting.
  • Different repositories may use slightly different field names or formatting conventions. After importing, review key fields used for reporting to confirm the data is consistent and complete.
  • Some integrations, such as Scopus and Web of Science, require your institution to hold an active account with valid credentials or API keys. If you attempt an import and the option is unavailable, contact your campus administrator to confirm whether the integration has been configured for your institution.

Accessing the Publication Import Tool

To access the Publication Import tool, navigate to the Publications / Intellectual Contributions activity screen within My Profile, and select the Import button. The tool will not appear if the required configuration has not been enabled for your institution.

Once inside the Import Publications screen, you will see two panels:

  • Import from a BibTeX file: Upload a BibTeX file exported from a reference management tool.
  • Import from a Third Party: Search a connected scholarly repository directly using author name, publication date, or other criteria.

Import Sources

PubMed

PubMed is a resource provided by the US National Library of Medicine that offers free access to MEDLINE, the NLM database of indexed citations and abstracts covering medical, nursing, dental, veterinary, health care, and preclinical sciences journal articles. PubMed is a strong choice for faculty in health and life sciences fields.

No institutional account is required to search PubMed through Faculty Success.

Crossref

Crossref is a not-for-profit membership organization for scholarly publishing and serves as the official Digital Object Identifier (DOI) Registration Agency for scholarly and professional publications, including journals, books, and other content types. Searching by author name and publication date range in Crossref is a reliable way to locate DOI-registered works across a wide range of disciplines.

No institutional account is required to search Crossref through Faculty Success.

Scopus

An active institutional Scopus account is required for this integration to be available. If the Scopus option does not appear in your import tool, contact your campus administrator to confirm whether it has been configured.

Scopus is a large abstract and citation database of peer-reviewed literature, covering scientific journals, books, and conference proceedings across science, technology, medicine, social sciences, and arts and humanities.

Web of Science

An active institutional Web of Science account is required for this integration to be available. If the option does not appear, contact your campus administrator to confirm whether it has been configured.

Web of Science is a curated database covering journal articles, books, patents, conference proceedings, and open access materials dating back to 1900. It is actively maintained and reflects journals that researchers across disciplines have identified as significant in their fields.

When searching Web of Science, you can search by author name or by ResearcherID. Searching by ResearcherID is recommended because it is unique to a specific person, which produces more accurate and complete results. To find or register for a ResearcherID, visit ResearcherID.com.

Note: Faculty Success connects to the Web of Science Core Collection, which only includes items once they have been published in print. Articles published online ahead of print will not appear in search results until the print publication date.

ORCID

An active institutional ORCID account is required for this integration to be available at your institution. If the option does not appear, contact your campus administrator to confirm whether it has been configured.

ORCID is a non-profit organization that provides a persistent digital identifier (ORCID iD) that distinguishes you from every other researcher. By connecting your ORCID account to Faculty Success, you can pull your publication citation information directly from your ORCID record rather than re-entering it across multiple systems.

To use this integration, you must first connect your ORCID account to Faculty Success. Faculty Success will prompt you to authorize the connection by either registering for an ORCID iD or signing into your existing account.

When importing from ORCID, Faculty Success will bring in the following fields directly:

  • Author Names
  • Title of Work
  • Contribution Type
  • Journal Name
  • Publication Date
  • DOI
  • Editor Names
  • ISBN/ISSN
  • URL

If a record contains identifiers that match other enabled integrations, Faculty Success may also retrieve additional fields from those sources. For example, a record with a DOI may pull supplemental data from Crossref. This happens automatically during the import process.

Note: Faculty Success will only import ORCID records marked as "public" or "trusted-party." Records set to "only me" in your ORCID profile cannot be imported.

BibTeX

If your publication citations are already stored in a reference management tool such as EndNote, Google Scholar, Mendeley, RefWorks, HeinOnline, or Zotero, you can export them as a BibTeX file and upload that file directly into Faculty Success. BibTeX is a widely supported standard format for structuring publication citations, which makes it straightforward to move records between systems.

To use this option, export a BibTeX file from your reference manager and then select Choose File in the BibTeX panel of the Import Publications screen.

The BibTeX file format is not a strict standard, and data from external systems may not be directly compatible with Faculty Success. When encountering an error during import, try another source for the BibTeX file, or contact your campus administrator for assistance.
