Imports Administration: Custom sheet type

This article explains how to import lists of prospect information using the custom sheet type. For information on enabling and using the CSV import tool more generally, see the main article.

Introduction

Before development of the custom sheet, users had to split their prospect data into distinct sheets for biographical (prospect), address, phone, high school, and veteran status. The custom sheet type allows users the flexibility to upload whatever information they have on a prospect within a single sheet.

 

Preparing your sheet

Method 1: Create your own sheet [preferred]

  1. Copy column headers from the table below onto your list of prospects. Column headers must be spelled exactly correctly but they may be in any order
  2. Check for required fields: firstName, lastName, and emailAddress are always required
  3. ID. If you don't supply an ID, the tool will autogenerate one for the prospect
    1. If you are going to upload more information on the prospect, probably supply an ID now so you can match on it later
  4. Save as CSV

Method 2: Use the Watermark template

  1. The custom template may be downloaded from the bottom of this page
  2. Paste your data in
  3. Check for required fields: firstName, lastName, and emailAddress
  4. ID. If you don't supply an ID, the tool will autogenerate one for the prospect

Caution that this CSV contains all possible columns and is very wide; it may be more difficult to manage

 

Upload your sheet

Enter the tool from Admin>Imports and choose custom sheet type

Auto row completion

This feature lets users easily apply information associated with phone numbers and addresses from within the import tool.

If importing address or phone number, these associated fields are required:

Address Phone
  • addressActive

  • current

  • permanent

  • addressType

  • phoneActive

  • primary

  • phoneTypeId

  • verified (optional)

  • smsEnabled (optional)

If these fields are missing from an uploaded address or phone, the import will fail; thankfully, this feature lets users easily supply these columns within the import tool without worrying about adding them into their CSV before upload. 

 

To supply these fields from within the tool, select values from the dropdown relating to the address and/or phone number to apply to the entire sheet. New columns will be added to the uploaded sheet and values selected from the dropdown will be populated into cells missing values.

If the prospect already has an address or phone number, this will append the new value.

Available fields

Here is the complete menu of columns that may be chosen from with their validations.

  • in the automatic row completion tool (be sure to use the ID and not name)
  • on the SS&E Admin page. The Source System Id of the phone number type. Phone Type ID must match exactly what displays in the Phone Type Datafeed Imported Data View Src System Id field. Phone type Ids can be found on the SS&E Admin page, from SIS Integration > Datafeeds > Phone Type > View Imported Data, valid Ids will be listed in the "src_system_id" column

Tips

Always check the your sheet after validation for data issues

  • Status column indicates ready or invalid. Invalid records will not import
  • Rows that are ready but have warnings may still import, but some data may not append onto the prospect profile
  • Errors will not be imported

It is best practice to correct your data and re-upload before importing records.
