Student Success & Engagement Read Only, Imported Academic Plan Setup Guide

If extensive academic planning is occurring within the SIS or other system, read-only academic plans can be a useful place to display this information. Academic plans imported as only read-only format can be a valuable and user-friendly tool within SS&E for conversations around student academic planning. Crucially:

  • Read-only academic plans cannot be altered inside SS&E
  • Read-only academic plans cannot interact dynamically with plan templates in the way that full academic plans can, with easy addition and removal from a student’s plan

Read-only Academic Plan Configuration

Importing Academic Plans via the SIS requires the Person Academic Plan and Person Academic Plan Course data feeds. See SIS Import Definitions for the requirements for each feeds.

Academic plans are normally managed through SS&E. To make academic plans read only and governed by the SIS, two settings must be verified in Admin > Academic Planning > Academic Planning Configuration:

  1. ‘Enable Academic Plan Generation’ should be disabled. This will disable the automated job that creates Academic Plans.
  2. ‘Make Academic Plans Read Only’ should be enabled, making the SIS the source of truth for students’ academic plans.

Assignment of Academic Plan templates

Academic Plan Templates are a crucial concept behind academic planning in SS&E and allow a student’s plan to be compared to a predetermined path (template). Academic Plan Templates can be automatically generated or manually created.

As shown above, imported academic plans will show in the UI initially without an Academic Plan Template. To assign a template, click the edit pencil near the student’s profile picture, or on the right side of the screen.

Once selected, the template will show in the Plans UI alongside the student’s Academic Plan.
