Placement Imports

Purpose

Placements created outside of the system can be bulk imported to create new placement records. Edits to existing placements can also be made using this feature.

Import File Fields

All headers in the template must be uploaded as provided. You may leave optional fields blank, but the header must remain in the column. The file must contain the following columns in order.

Placement ID

  • Explanation: A unique identifier used to identify a specific placement record.
  • Example: 6559110123
  • Field Type: Numeric
  • Sample file column: A
  • Import Status: Optional

Note: If you do not provide a Placement ID, the row will be treated as a new placement record and a new ID will be assigned. If an existing Placement ID is provided, the system will update that placement record.

Intern Email

  • Explanation: The student's email address, used to identify the student being placed.
  • Example: astudent@university.edu
  • Field Type: Text
  • Sample file column: B
  • Import Status: Required

Term Code

  • Explanation: The term code during which the placement will occur.
  • Example: SP24
  • Field Type: Alphanumeric
  • Sample file column: C
  • Import Status: Required

Course Code

  • Explanation: The code for the course associated with the placement.
  • Example: Edu 101
  • Field Type: Alphanumeric
  • Sample file column: D
  • Import Status: Required

Section Name

  • Explanation: The course section associated with the placement.
  • Example: EDU 101 SP24 SEC02
  • Field Type: Alphanumeric
  • Sample file column: E
  • Import Status: Required

Site ID

  • Explanation: The unique ID for the placement site. Site IDs can be found in the site tab or by downloading the list of sites.
  • Example: 5f7d3d58
  • Field Type: Alphanumeric
  • Sample file column: F
  • Import Status: Optional

Mentor Email

  • Explanation: The email address for the mentor associated with the placement.
  • Example: amentor@schools.edu
  • Field Type: Email
  • Sample file column: G
  • Import Status: Optional

Supervisor Email

  • Explanation: The email address for the placement supervisor.
  • Example: asupervisor@university.edu
  • Field Type: Email
  • Sample file column: H
  • Import Status: Optional

Note: While Site ID, Mentor Email, and Supervisor Email are individually optional, you must provide at least one of these to create a new placement record.

Placement Details

  • Explanation: Enter any additional information or tags associated with the placement.
  • Example: “Early Field”, “Rural”, “English Learners”, “Private School”
  • Field Type: Alpha
  • Sample file column: I
  • Import Status: Optional

Content Areas

  • Explanation: Content areas related to the placement.
  • Example: “Math”, “English”
  • Field Type: Alpha
  • Sample file column: J
  • Import Status: Optional

Grade Levels

  • Explanation: Grade levels associated with the placement. Accepted values are:
    • Pre-kindergarten
    • Kindergarten
    • 1st
    • 2nd
    • 3rd
    • 4th
    • 5th
    • 6th
    • 7th
    • 8th
    • 9th
    • 10th
    • 11th
    • 12th
    • 13th
    • Adult Education
  • Example: “Kindergarten”, “2nd”, “Adult Education”
  • Field Type: Alpha
  • Sample file column: K
  • Import Status: Optional

Start Date

  • Explanation: The date the placement will begin.
  • Example: 1/1/2024
  • Field Type: Date
  • Sample file column: L
  • Import Status: Optional

End Date

  • Explanation: The date the placement will end.
  • Example: 5/15/2024
  • Field Type: Date
  • Sample file column: M
  • Import Status: Optional

Notes

  • Explanation: Additional notes about the placement.
  • Example: “First placement”
  • Field Type: Open text (500 character limit)
  • Sample file column: N
  • Import Status: Optional
