Student Resources

Overview

Resources that your institution wishes to provide to students can now be created, managed, and shared within Student Success & Engagement.

The following resource types can be shared:

  • Public Resource Guides - This type of resource guide is usually created by a third party and can be indexed by major search engines.
  • Private, "Non-Public" Resource Guides -  These resources can only be seen by SS&E users through the resource "Share" functionality.
  • Only Active resources are visible to students. Inactive resources will not dipslay on the UI.

Resource Information

  • Resources help students receive information they need about a particular resource in an easy-to-consume format.

  • Resources that are shared with a student are visible on the Student View that students land on after logging into SS&E.

Adding a New Resource

Resource Guide Configuration defines whether the Resources Page displays and which user roles are allowed to manage and/or share resources with students within SS&E, and can be found here: https://YourInstitutionName.avisoapp.com/aviso/resourceGuideConfiguration/show/index

To ensure that a resource is configured properly, permissions are set while adding a new resource, and this can later be changed by editing the resource.

For example, when adding a new resource, each resource is setup with the following required settings:

  • Visibility - Open to the public/any SS&E logged-in user/staff only/resource managers only
  • Resource Title
  • Resource Summary - A description of the specific resource guide
  • Resource Content - The text that displays in SS&E when selecting the resource guide.

Note: Only resources marked as active and visible to the public or logged-in users will be available both for staff and students to view.

In addition, the following optional settings are available on every resource:

Settings Tab

  • Active - Yes/No (Hidden on the UI Yes/No)
  • Enable Reviews - Yes/No
  • Contact Information - Information for who is providing the resource such as their name, email, phone, and physical address
  • Website URL - the web URL for the specific resource (url must have either http:// or https:// prepended to the url to work successfully)

Content Tab

Insert Image will add an image to the resource page.

To insert an image:

  1. On the image itself, right click to "Copy the image address" (see screenshot example below)
  2. On the Content tab, select Insert -> Image
  3. In the Source field, paste the image address from step 1
  4. Add an optional internal description
  5. Set the image width and height display size
  6. Lock the image size if the image size should not be resized in Edit Resource mode
  7. Leave the image size unlocked to allow the option to be resized (resize the image by dragging the blue line/boxes around the image as seen in the screenshot below)

Sharing a Resource

To share a resource:

  1. Go the Resources page.
  2. Find the resource.
  3. Select Share from the resource record.
  4. Select the person to share the resource with from the Person dropdown.
  5. Add an optional comment.
  6. Select Share to share the resource with the selected person.

  7. The resource will be shared via email, sent from the logged-in user, to the recipients primary (edu) email address.

When a student is allowed to view a shared resource, these resources will display in the Student View on the student's Home page.

Sharing an Inactive Resource

If an Inactive resource is/was shared with a student, as long as the resource is set to Inactive it will not display on the Student View.

  • If a student selects to view an Inactive resource, a message will display that the resource is expired.

Removing a Resource

A resource can be hidden from view at the individual resource level or the resource category level by being marked Inactive.

  • Inactive resources/resource categories will only display for users that are allowed to manage resources.

  • Resources cannot be deleted from Student Success & Engagement and can only be made inactive. Inactive resources are hidden from all users that are not allowed to manage resources.

If a resource or resource category will not be used, you can select "Edit" to rename the resource category/resource name so that it is clear that the resource is out of date and should no longer be used (eg. changed from Inactive to Active).

Resource Feedback

Solicitating student feedback and keeping the resources up to date is an important part of maintaining a quality student resource guide.

The reason is that resources may shut down, change their mission or provide inadequate services, and it is important to weed out a resource that is no longer helpful.

Shared Resources in SS&E allow feedback on every individual Resource Guide, including a star-rating, that can be collected from any users that are allowed to use/access the resource.

Printing a Resource

Depending on what information needs to be reported on, the Resources report source can be used to report on your SS&E Resources.

However, using the Resources Report Source to report the information that displays on a resource will print the resource content (Description) with the HTML code that represents the content formatting.

To report on a resource without the HTML code, you can use the browser Print function to print out the resource page as it displays on the UI.
