Reviewing AI Parsing Results and Resolving Duplicates

After AI Parsing processes your uploaded file or pasted text, Faculty Success displays the activities it has identified. Before adding records to your profile, review the parsed information, complete any required fields, and resolve any potential duplicate records.  
 
This article explains how to review AI Parsing results before adding activities to your Faculty Success profile.

Review Workflow

After AI Parsing processes your uploaded file or pasted text, Faculty Success guides you through a review process before adding activities to your profile. Depending on whether you submitted a single activity or multiple activities, some steps in the workflow may vary. Use the workflow below to navigate to the step where you need assistance:

  1. Review the parsed activities.
  2. Complete missing details, if required.
  3. Resolve potential duplicates if duplicate records are identified.
  4. Remove parsed records you do not want to add.
  5. Save and view saved records.
  6. Finish the review process.
  7. Troubleshoot common issues that may occur

The following sections describe each step of the review process in more detail.

Review Parsed Activities

The review process allows you to confirm that information was mapped correctly before records are added to your profile. Depending on the type of AI Parsing workflow used, the review experience differs slightly. 

Review a Single Activity

When you use AI Parsing to add a single activity type, Faculty Success opens the activity form and populates the fields it was able to identify from the submitted content.

Review each parsed record carefully before saving it to your profile. You can edit any field and provide information for any required fields that could not be identified during processing.

Records cannot be saved until all required fields have been completed.

After AI Parsing generates records for the selected activity type, you can:

After AI Parsing processes your content, Faculty Success displays the records it identified for the selected activity type. Review each parsed record before saving it to your profile.

To edit a parsed record:

  1. Select the pencil icon next to the record you want to review or update.
  2. Review the record details in the drawer that opens on the right side of the page.
  3. Make any needed changes to the available fields.
  4. Select Save to apply your changes to the parsed record.

After saving your changes, you will return to the review page where you can continue reviewing the remaining records before saving them to your profile.B

Change the Selected Activity Type or Start a New Parsing Session

You can return to a previous step or begin a new parsing session at any time during the review process.

If you selected the wrong activity type, select Back to Select Activity to return to the activity selection page and choose a different activity type.

Start a New Parsing Session

To start over using different content, select Upload New File. This begins a new AI Parsing session and allows you to upload a different file.

Important: Selecting Back to Select Activity or Upload New File will remove the parsed records associated with the current session, and any modifications to the record details will be lost. Consider this option carefully before continuing.

Review Multiple Activities

When you use AI Parsing to add multiple activities, Faculty Success displays the parsed records in a review table.

From the review table, you can:

Important: If you attempt to leave the review process before finishing, Faculty Success displays a confirmation message to help prevent accidental loss of progress. Proceeding to leave will result in the loss of your progress and a new AI parsing session will need to be started. 

Edit Activity Record Details

To edit a parsed record, hover over the activity title in the Record Display column and select the pencil icon.

Review and update the record details in the drawer that opens on the right side of the page. When you finish making changes, select Save.

Complete Missing Details

During the review process, Faculty Success identifies records that require additional information before they can be saved. Records marked as Missing Details indicate that AI Parsing identified the activity but could not populate one or more required fields using the submitted content.

To resolve this: 

  1. Open the record marked Missing Details.
  2. Enter the required information.
  3. Save your changes.

Records cannot be added to your profile until all required fields have been completed.

If multiple records require the same information, Faculty Success may allow you to update those fields for several records at the same time.

Resolve Potential Duplicates

Before a parsed record is added to your profile, Faculty Success checks for possible duplicate activities to help prevent the same activity from being added more than once.

If a potential duplicate is identified, Faculty Success displays the parsed record alongside the existing record so you can compare the information and decide how to proceed.

Depending on the situation, you may see the following options:

  • Merge + Add Missing Details to merge information from the parsed record into the existing record.
  • Add as New to save the parsed record as a separate activity.
  • Skip or Remove from Import to prevent the record from being added.

Review the information carefully before selecting an option. Any changes resulting from a merge must be reviewed and approved before they are applied as this action cannot be undone. 

Remove Parsed Records

If you do not want to add a parsed record to your profile, you can remove it using one of the following methods:

  1. Click on the three-dot icon under the ACTIONS column and select "Remove from Import" from the drop-down menu.

  2. Check the checkbox next to the record you wish to remove and click on "Remove."

Save and View Saved Records 

To save parsed records to your profile:

  1. Check the box next to the records you wish to add.
  2. Select "Save to Profile."

To view records that have already been saved during the current parsing session:

  1. Click on "View Saved Records."
  2. Review the saved records in the drawer that appears on the right-hand side.

Finish the Review Process

After all records have been reviewed, saved, or removed, Faculty Success will display the "All Done Here!" confirmation page. From this page, you can start another AI Parsing session to add more activities or return to My Profile to review the records that were added.

Troubleshooting

The following sections address common issues you may encounter while reviewing AI Parsing results.

I Cannot Save a Record

Records cannot be saved until all required fields have been completed. Review the record for any missing required information and provide the requested details before attempting to save again.

I See a Duplicate Record Warning

Duplicate record warnings appear when Faculty Success finds a possible match between a new record and an existing activity in your profile. Please review the records carefully and decide whether to merge the information, add the record as a new activity, or skip the import. 

I Left the Review Process Before Finishing

Faculty Success displays a confirmation message before you leave the review process. Please review this message carefully before continuing to avoid losing any unsaved changes. If you proceed with leaving before finalizing your review, any modifications will not be saved, and the records will not be added. You will need to start a new parsing session.
