Data Feed Guide: Populations

Overview

As you build your data feeds, you will need to identify populations to import into SS&E. In SS&E, historical student and applicant data is used in Predict to provide better predictive analytics insights. Staff and Faculty records are imported to allow users to login, and they are also linked to course section records.

Students & Applicants

  • Include any person who has been an active student/applicant/etc. in the last 5 years.
    Any data about that person should not be time limited--e.g. all historic transcript and associated course/section data should be included for any recently active student in case a student was enrolled in the past and is currently enrolled again.
  • Continuing Education/Adult Education/Special Populations
    • Consider how these records can be identified.
    • If your institution wants to bring these populations into SS&E in addition to curriculum students, reach out to your Project Manager for more information.
  • The amount of historic data can be reduced after it has been successfully imported initially.

Faculty & Staff

  • It is recommended that all active staff/faculty members are included, including IT staff.
  • Include former faculty members so that course sections can be linked to a faculty member.
    • Former faculty do not need to have a role, which will prevent them from signing into SS&E.

Faculty and Staff Demographic Information

  • On the Person data feed, these fields are not recommended for users who have roles like Faculty and Staff: gender, birthdate, raceId, ethnicityId, balanceDue, secondaryEmailAddress, veteran, firstGeneration.
  • For person-related demographic feeds, like personAddress and personPhone, it is not recommended to include records for users who have roles like Faculty and Staff.
  • Consider what demographic information to include or exclude for these two populations: faculty & staff who are also students/applicants, and student workers. These two populations are often coded the same way in the SIS and they are difficult to identify separately in the data feed. Because of this, your decision will likely apply to all of these users.

Additional Information

  • Person-related feeds, or any feeds that reference a personId should have the same population filters as the person feed.
  • Only the student role should be assigned to begin with. For more information, see Data Feed Guide: Roles
