Creating Programs/Organizations

The Hierarchy of Organizations

In System Administration, the institutional hierarchy is built across two data sets - Organizations and Programs.

An Organization is best understood as any area of the hierarchy that falls above the Program. Organization types that System Administration will offer as an option are as follows:

  • Center
  • College
  • Department
  • Division
  • Institute
  • School
  • Unit

A Program is any Academic Program, or any program that would otherwise contain a Curriculum of Courses. As such, Program-level Organizations are the only Organization type that allow for the creation of Curriculum Maps.

The hierarchy of Organizations will influence multiple workflows across various Watermark products. For example, users will be aligned to a particular Organizational level, which may influence the level of access they receive.

Ideally, the Organizational hierarchy that is built would reflect the institution's actual institutional structure, which is often appropriate for the workflows that the hierarchy influences.

Adding an Organization

After entering System Administration, select the "Organizations" tab on the left. Two options will be presented in the top-right - "Import Data" and "Add New Organization".

The "Import Data" functionality is used to import Organizations in bulk. Selecting "Import Data" will present a template that can be used for import. For additional information on formatting the import template, click CSV Import Guidelines.

Selecting "Add New Organization" will present the opportunity to manually create a single Organization, as shown below:

Once an Organization Name and Code are entered, the Type is selected, and the Affiliated Parent Organization is chosen, selecting the checkmark to the right would complete the process.

Note: The Organization Name, Code, Type, and Parent Organization can be changed at a later point, but Deletions are only possible if there is NO data associated to the Organization.

Adding a Program

After entering System Administration, select the "Programs" tab on the left. This will present the options to "Import Data" and "Add Program" in the top-right.

The "Import Data" functionality will present two further options, to "Import Program" or "Import Program Curriculum".

"Import Program" allows for new Programs to be added in bulk. Once selected, the user will be presented with the options to upload the import file, and a template will also be available for download.

"Import Program Curriculum" is a separate functionality in which Courses are added to Program Curriculums.

Selecting "Add Program" will present the opportunity to manually create a single Program, as shown below:

Once the Program's Name, Code, and CIP Code are entered, and the Parent Organization is selected, clicking on the checkmark to the right will complete the process.
