Survey Ownership

Hello!

We are new Watermark customers.  We have already had turnover in our staff though and it has caused some problems we are hoping to avoid in the future.  Therefore, we want to see how other schools are dealing with this.  We want the CES Administrator role to only exist within IT because we do not want anybody else to control things such as creating accounts.  However, our IR department are the ones who actually create projects and surveys.  Therefore, they have the project administrator role.  We have discovered they can share projects this way, however, they cannot share surveys.  This causes problems because multiple people cannot collaborate and also, the survey is owned by one individual which causes issues for department turnover.  It would definitely be ideal if these surveys were not owned by a specific user and they did not need to be recreated every time there was department turnover.  How are other schools dealing with this situation?  Thanks so much in advance!

    This has always been an issue. A great way is to put this idea in the Watermark Idea Portal. On the main page (before you click into the CES discussion link) under "Links to Helpful Information", click on "Submitting an idea & Product Feedback".  Fill out the form and you will be granted access. This is a fabulous place to submit ideas for improvements and to keep up with Watermarks Roadmap and voting for ideas for implementation.

    As for short term solution, I'm in IR and the CES administrator for WM CES for all our campuses. IT does have CES admin, but they are for the "mechanics". We have 2 CES admins in IR, me and our VP of Surveys. As CES we can see each others projects and surveys, which is great because I manage over 750 surveys. We also don't have a lot of turn over in the department either, 6 people of our 11 person office have been here for a min of 15 yrs, with our Executive Dir for 36 years...

  • IR staff have CES Administrators at our college, and because IT helped us establish a single sign on experience with WM, we aren't really "creating" accounts. When we create a report administrator, we enter the username & email address already assigned by IT. Faculty & Student accounts are imported from the LMS, so again, these are accounts already created by IT. Our IT staff are not involved in the CES process, and all relevant IR staff can edit most surveys and projects. IT and IR should have a strong trust relationship that makes operational issues like CES as efficient as possible for the institution without creating security issues for either. I recommend starting from a place of trust and having clear documentation through a data governance committee.
