Enhancements to System Administration and
Planning & Self-Study

Ability to Delete Organizations (With and Without Associated Planning & Self-Study Data) 

The ability to fully delete Organizations - with or without associated Planning & Self-Study data - is now functional within System Administration. Now, when a System Administrator goes to delete an Organization, a validation check will notify the Administrator if there is associated data or not.

  • If there is no associated data, the delete will be confirmed. 
  • If there is associated data, the Administrator will need to complete a waiver (see below image) in order to acknowledge that:

    With the deletion of the respective organization all of the following potential associations to that organization will also be removed in Planning & Self Study, including:  

 

  • Assessment leads associated with the Organization. Reviewers would not be able to review the organization’s plan review previously aligned. 
  • Outcomes (Learning, Success, Archived) associated with the organization. 

 

The deleted organization will also be removed from any: 

  • Strategic Plan
  • Assessment Plan
  • Program Review

 

The Strategic Plan created under this organization will be deleted.

 

The retrieval of the Organization delete is not possible.

The above example shows an administrator in the process of deleting an organization in System Administration. Associated product data has been found, and the administrator must acknowledge the implications of this hard delete by checking the boxes of potential associated data that will be deleted.

 

Removal of “People Deletes” Functionality in System Administration 

The ability to delete People in System Administration is being removed. This change will enhance the integrated data associations between People in System Administration and the Planning and Self-Study product. 

 

System Administrators will still have the capability to:

 

Remove a person’s product access by:

    1. Going to “Edit Person” 
    2. Under Product Access’ deselect all roles from the product. 

 

Update a person’s email address by:

    1. Going to “Edit Person”  
    2. Click on ‘Contact Support’ and include the list of the user(s) old email address and new email address 

For other person delete requests:

      1. Go to “Edit Person” 
      2. Click on ‘Contact Support’

The above delete icons under People will no longer be available in System Administration.

To change an email(s), or for a separate request to delete a user, click on Contact Support.
To remove a person’s entire product access go to “Edit Person’ and then to ‘Product Access’, then deselect all roles from the product.

 

Enhancements to System Administration and
Student Learning & Licensure

New Bulk Import of Cohort Enrollments

Leveraged for institutions to use with Watermark’s new integration with Student Learning & Licensure, formerly known as Via, System Administrators can import cohort enrollments in bulk using CSV imports.

 

To enroll cohorts in bulk, System Administrators can go:

  • ‘Enrollments’ tab
  • ‘Cohorts’ tab

Choose ‘Import Data’ to enroll in bulk, or to download template file

Choose ‘Export Data’ to export all cohort enrollment data

Above shows the cohortenrollments.csv with the required fields ‘email’ and ‘cohort code’.  

 

CSV Import Guidelines

 

File: cohortenrollments.csv 

 

This file is responsible for enrolling students within a cohort. This information can be leveraged for reporting and workflows in products like Student Learning & Licensure.

 

Note: In order to successfully upload a cohort enrollment file, all included users must previously be loaded in the people file and all cohorts must be previously loaded in the cohorts section, under the Data Variables file.

 

email

Explanation: The email address of an existing person loaded in the people file.

Example: nportman@example.edu

Field Type and Length: Alphanumeric, 255

Sample file column: A

Import Status: Required

 

cohort_code

Explanation: Cohort code for which the faculty or student will be enrolled. Must match an existing cohort provided in the cohorts, under the Data Variables tab.

Example: 2022_MBA_FT

Field Type and Length: Alphanumeric, 255

Sample file column: B

Import Status: Required
