Monitoring Career Paths for Faculty as an Administrator

This article serves as a guide for Administrators on using the Manage Faculty tool within the Career Pathways module to monitor faculty career paths. Faculty career paths consist of Base events, and Administrators can add Result & Exception events through this tool to manage a faculty member's career trajectory. 

Key items to keep in mind: 

  • Once a career path is assigned to a faculty member, the Base Events cannot be modified. To learn how to modify these events in a career path, see Modifying Events. 
  • Adding a Result & Exception Event that conflicts with the timing of other events will trigger an error. For example, if a Base Event is scheduled for January 1, 2023, and the next event is for February 1, 2023, trying to add a Result Event with a date of December 9, 2024 between these two events, will cause an error notifying you to refresh your page. You will need to refresh your page to allow the system to adjust the subsequent events to accomodate for the new date. 

Accessing Career Pathways 

To begin monitoring faculty career paths, administrators must first access the Career Pathways Configuration tool. Here's how: 

  1. Click on "Career Pathways" from the Navigation Bar. 
    • If a menu appears, select "Configuration." 
    • If you do not see "Career Pathways" but rather "My Career" in the Navigation Bar, it means you only have access to monitor your own career path. To monitor faculty career paths contact your institution's help resources to be directed to your Faculty Success Administrator, who can review your request for access further.   

Monitoring Faculty Career Paths       

Once you have accessed the Career Pathways Configuration tool, follow these steps to monitor faculty career paths: 

  1. Navigate to the "Manage Faculty" tab:
    This tab allows you to assign career paths to faculty members and track the progress of milestones. To learn about how to assign career paths, see Assigning a Career Path using Manage Faculty
  2. Search for a faculty member:
    Use the search field to find the faculty member whose career path you want to view. Click their name to view their milestones. 
  3. Review their career path and milestones: 
    After selecting a faculty member, you can see their career path and key milestones. Click on any milestone to view it's details. 

Managing Events in a Faculty's Career Path 

When monitoring a faculty member's career path, you may need to add events such as result or exception events. Here's how you can add as well as how to modify these events: 

Adding Result Events 

  • Adding Result Events 
    To add a result event to a faculty member's career path: 
    1. Select the base event from the faculty member's timeline that you are adding the result event to such as an Annual Review. 
    2. A drawer will appear in the left-hand side with details about the base event. 
    3. Click "Add Result Event." 
    4. The following fields will appear to configure the result event: 
      • Results: Choose the outcome of the base event. These are pulled form your pre-configured result events. For more details on creating new result events, see this article. 
      • Effective Date: Enter the date that the result event becomes effective. 
      • Impact to Career Path: Select one of the following: 
        • Delay all Subsequent Events: This will postpone future events. 
        • Advance all Subsequent Events: This will move future events forward. 
      • Description (optional): Provide any additional context for the result event. 
      • Attach Files (optional): Attach any relevant documents such as reports or letters related to the result event. Accepted file types include .pdf, .doc, .docx, .jpg, and .png.
    5. Click the checkmark icon to save the event. 
  • Adding Exception Events
    To add an exception event to a faculty member's timeline: 
    1. Click the "Add Event" button in the upper-right corner of the screen. 
    2. A drawer will appear in the left-hand side, where you can configure the exception event: 
      • Event: Choose the exception event from your pre-configured list. For more details on creating new exception events, see this article. 
      • Start Date & End Date: Set the start and end dates for the exception. 
      • Impact to Career Path: Select one of the following: 
        • Delay all Subsequent Events: This will postpone future events. 
        • Advance all Subsequent Events: This will move future events forward. 
      • Description (optional): Provide any relevant information about the exception event. 
      • Attach Files (optional): Attach any relevant documentation for the event. Accepted file types include .pdf, .doc, .docx, .jpg, and .png.
    3. Click the checkmark icon to save the event. 

Modifying or Deleting Events 

You can modify or remove Result & Exception Events, but Base Events cannot be changed. To learn about modifying Base Events see Modifying Events. 

  • To edit an event: 
    • Click the title of the event you wish to edit. 
    • A drawer will appear in the left-hand side, click the pencil icon to enable editing. 
  • To delete an event: 
    • Click the title of the event you wish to delete. 
    • A drawer will appear in the left-hand side, click on the "Delete Event" button to delete it. It is important to keep in mind that this action cannot be undone, and the event's impact on the career path will be reverted. 

Monitoring faculty career paths is an important task for administrators to ensure faculty progress according to institutional policies. By understanding how to view and manage career milestones, including adding or modifying events, you can help guide faculty through their academic journey.
