Canvas - Required Data Mapping in System Administration & Canvas

Course Section Mapping

Purpose: To associate Canvas courses with System Administration course sections using SIS ID.

  • SIS ID Mapping:

    • In Canvas, every course has a SIS ID.SIS ID.png

       

    • This SIS ID must be added to the course section in System Administration in the section ID field.

    • Process:

      • Obtain the SIS ID from Canvas.

      • Navigate to the corresponding course section in System Administration.

      • Add the SIS ID to the section ID field.

Key Benefit: Ensures the assessment data of the Canvas course can be linked with the corresponding course section in System Administration, making it available to select in P&SS.

 

User Mapping

Purpose: To enable the viewing of assessment results for enrolled students of a Canvas course in P&SS.

  • Email Consistency:
    • Ensure all students have the same email address in both Canvas and System Administration.
  • Enrollment Import:
    • Navigate to Enrollment > Course Section in System Administration.
    • Import students using a CSV file.

Process:

  1. Prepare a CSV file with the necessary student data.
  2. Navigate to Enrollment > Course Section > Import.Import Enrollments.png
  3. Upload the CSV file to enroll students in the mapped course section.

Key Benefit: Allows the assessment results of Canvas course students to be viewed in P&SS.

 

Person Basic and Student Term Attributes

To utilize the course and student filters for filtering assessment results, clients should import the following attributes:

Modality (Course Section Attribute)

  • Definition: Refers to the delivery method of a course section.
  • Import Process:
    1. Prepare a CSV file with course section data including the "delivery method" column.DeliveryMethod.png
    2. Navigate to Courses > Manage Section > Import Course Section File in System Administration.ImportCourseSections.png
    3. Upload the CSV file.

Primary Major (Student Term Attribute)

  • Definition: Indicates the primary major of a student.
  • Import Process:
    1. Prepare a CSV file with student term data including the "primary_major" column.PrimaryMajor.png
    2. Navigate to People > Import Data > Import Student Term Attributes in System Administration.ImportStudentTermAttributes.png

    3. Upload the CSV file.

Key Benefit: Enables filtering of assessment results based on the primary major of students.

Q1: What is the SIS ID and why is it important?

  • The SIS ID is a unique identifier for courses in Canvas. It is crucial for mapping Canvas courses to course sections in System Administration, ensuring the correct association of assessment data.

  • The following permissions are required:
    • Account-level settings - manage
    • Course Content - view
    • Courses - view list
    • Discussions - view
    • Grades - view all grades
    • Manage Assignments and Quizzes
    • Quizzes - view submission log
    • Rubrics - add/edit/delete
    • SIS Data - import/manage/read
    • Users - allow administrative actions in courses/manage login details/view list/view login IDs/view primary email address

Q9: How is data synchronized between Canvas and P&SS?

  • Data syncs automatically every midnight. For a manual refresh, institutions can contact Watermark for the latest assessment changes. BS Portal has the capability to perform a manual refresh for an institution. Search for an institution under accounts in BS Portal. Internal watermark employee can perform a manual refresh.

Troubleshooting Steps

Issue 1: Missing assessment data in P&SS

  • Solution: Verify that the course section’s SIS ID is provided and correctly mapped in Canvas. Ensure student email addresses match in both Canvas and Sys Admin and are the same students are enrolled in both Canvas course and the mapped sys admin course section.

Issue 2: Overnight sync did not update data

  • Solution: Contact Watermark for a manual refresh. Check the sync status and last sync time in the integration settings.

Issue 3: Cross-listing in Canvas results in data loss

  • Solution: Be cautious when cross-listing course sections as it deletes existing assessment data. Plan accordingly and understand that de-crosslisting requires backend requests for data retrieval.

Issue 4: Discrepancies in enrollment data between Canvas and P&SS

  • Solution: Ensure enrollment mapping is accurate. Remember that assessment results in P&SS will reflect the enrollments from Sys Admin, not Canvas.

Issue 5: Unable to add a user as an account admin in Canvas

  • Solution: Ensure you are logged in as an administrator, go to Admin > Settings > Admin tab, and follow the steps to add an admin with the newly created account role. Please refer to the section “How to setup the feature“ on this page
