Overview
The New Meeting Scheduler for Watermark Student Success & Engagement (release June/July 2024) employs a new calendar integration which must be approved by the institution's calendar administrator.
- The new integration is much faster than the existing, legacy integration, allowing Watermark to quickly check availability for multiple users at once
- Users will not appear in the new scheduler until the new integration is enabled by the campus calendar administrator
- It must be approved before advisors configure their availability for the new scheduler
Introduction
Prior state (Legacy scheduler)
Upon implementation, Watermark creates a Service account within the institution calendar instance which checks availability and places events on users calendars. No action is required by individual users.
Unfortunately this existing integration is very slow and only works well when searching one advisor's availability, one day at a time.
New integration (beginning May 2024)
Individual users will now sync their calendar directly with Watermark. Calendly and other standard calendar solutions use this method. Within each individual user's SS&E settings, there will be a new button that allows users to "Sync Calendar" with Google or Microsoft. After logging in to their calendar with their institutional SSO, users will grant Watermark privileges that allow SS&E Meeting Scheduler to fetch availability windows directly from their calendar.
The campus calendar admin must approve the new integration this summer in a one-time action.
- As in the past, Watermark does not store details of users' calendar events, only the start and end times of the meetings
- The new integration allows Watermark to directly read users' calendars to fetch availability windows
- Although the new permissions grant Watermark read and write access, Watermark will continue to place events on a user's calendar through the existing service account
- Calendar events created in Watermark SS&E must be deleted or edited within SS&E

- The new integration employs the Graph API
Instructions for Google institutions
Calendar admin should follow the following steps to give permission for users in your organization to use our oauth app.
1. Log into admin.google.com
2. Click into Security > Access and data control > API Controls
3. Click on Manage Third Party App Access
4. Click on Add app
5. Click on Oauth App Name Or Client Id
6. Search for 90397892676-q84it1s7oj1rqmaua633eefjedi1u0gs.apps.googleusercontent.com
7. Watermark SS&E should show up. Select that and select the only oauth client
8. Set an appropriate scope that covers all staff members that will be scheduling meetings with students
9. Give the app “Limited” access
